TRIP CANCELLATION AND MEDICAL INSURANCE: Insurance coverage is generally NOT included in the tour price. Contact your local group organizer or Cultural Tour Consultants to learn if insurance is included in your tour price. We strongly encourage tour participants to purchase individual travel insurance to cover non-refundable deposits and/or the medical expenses and repatriation cost involved if injury occurs during the tour requiring an early return. Group members are advised to visit, our travel insurance page, which provides links, information and on-line application for two recognized travel insurance companies. Pre-existing medical conditions may not be covered by all insurance packages or only if purchased within a maximum number of days following your first tour payment.

AIR TRANSPORTATION: Round trip economy class air transportation from origination to tour destination is included. Any deviations from the group’s traveling dates will incur a per person administrative fee charged by Cultural Tour Consultants in the amount of $75.00 in addition to the service fee and any change in fare charged by the airline. Some airlines have restrictions regarding the allowed number of deviations per group. All deviation requests must be received in writing and will be handled on a first come first serve basis.

AIRLINE SEAT REQUESTS:  You may indicate seat preferences (i.e. aisle and window seat) on the Tour Enrollment Form which CTC will transmit  to the airline.  However, oftentimes on group air bookings, a block of seats is given to the group and individual seat assignments are made at airport check-in the day of travel to fall within that block of seats.

LAND ONLY PACKAGE: Tour enrollees who choose NOT to accept the group airfare negotiated with the airline may make separate arrangements for air travel and purchase from Cultural Tour Consultants the Land Only Package. Tour members choosing the Land Only Package are responsible for all air transportation arrangements and must arrange to meet the group in the arrival hall area of the destination airport. Land Only participants who miss the group at the airport are responsible to make their own way at their own expense from the airport to the scheduled hotel for that night’s stay. Land Only Package participants must inform Cultural Tour Consultants they will be Land Only participants and provide individual flight itineraries by the date indicated on the Tour Participant Profile. It is not the responsibility of the Cultural Tour Consultants tour escort to locate the Land Only participants on arrival. Cultural Tour Consultants will not be responsible for any expenses - transportation or other - incurred by Land Only participants to meet up with the group.

GROUND TRANSPORTATION: Private, deluxe motor coach with panoramic windows, air-conditioning and public address system as required to accomplish the airport/hotel transfers and day excursion included. Driver must adhere to applicable time and mileage limits according to local laws. Any scheduled rail, water, or air transportation included in the tour itinerary will also be provided in the tour price.

ACCOMMODATIONS: Hotel accommodations per itinerary included. All rooms with private bathroom facilities except in the case of dormitory accommodations.
MEALS: Buffet breakfast included daily. Some dinners may be included, per itinerary. All lunches and excluded dinners are at the expense of the tour participant unless expressly noted.

ENTRANCES: Group reservation fees (when applicable) and entrance fees (when applicable) to scheduled sites included, unless specifically excluded in contract.

TOUR ESCORT/MANAGER: Services of an experienced multi-lingual tour escort/manager throughout the entire tour included.

GRATUITIES AND TAXES: Tour price offered to tour enrollees GENERALLY does not include tips for motor coach drivers, guides, or tour escort/ manager. Contact your local group organizer or Cultural Tour Consultants to learn if these tips are included in your tour price. Gratuities to coach drivers, guides and tour escorts are standard practice and should be paid directly on site during the tour. Tips and taxes in connection with included hotel accommodations, luggage handling, and meals are included in the tour price.

LUGGAGE: Cultural Tour Consultants must limit the allowed baggage to one checked piece and one carry-on piece, due to storage limitation on coaches. The size and weight limitations allowed by your scheduled airline will be communicated to you prior to departure.

PAYMENTS DUE TO CULTURAL TOUR CONSULTANTS: Contact your local group organizer or Cultural Tour Consultants for schedule of payments and cancellation penalties. A separate payment schedule may be announced by your local tour organizer to collect payments before forwarding to Cultural Tour Consultants.

NOT INCLUDED: Expenses of passports or visas, trip cancellation and medical insurance, personal expenses such as laundry or telephone charges, excess baggage charges, gratuities to tour guides, escort/manager and coach drivers, transportation charges resulting from deviation from the printed itinerary, and anything not mentioned as being included.

PASSPORT: For foreign travel, each tour member must be in possession of a valid passport with an expiration date that falls at least six months after the end of the scheduled tour.  If the expiration date is less than six months, the tour member must renew the passport before departure. Tour participants are strongly encouraged to apply for passport at the time of tour enrollment.

VISAS: U.S. Citizens do not need a visa for a stay of less than 90 days to most of Europe or South Africa. Non-U.S. citizens who are members of the tour group must contact the Consulate General or Embassy of the countries to be visited, to learn if a visa is required for entry. Visa applications can be obtained from the Consulate General or Embassy of destination country. Cultural Tour Consultants can assist by providing a letter confirming the individual’s participation in the tour, etc., if requested. However, Cultural Tour Consultants is not responsible for obtaining the visa for non-U.S. citizens.

TOUR OPERATOR RESPONSIBILITY: Cultural Tour Consultants is acting as an intermediary and agent for suppliers (“principles identified on the attached or accompanying itinerary or documents”) in selling services which are not directly supplied by Cultural Tour Consultants, such as air carriage, hotel accommodations, ground transportation, meals, tours, cruises, etc. Cultural Tour Consultants expressly disclaims responsibility for the acts or omissions of suppliers which result in loss, damage, delay or injury to the group contracting through Cultural Tour Consultants for the services of such suppliers, or to any individual group member.

Cultural Tour Consultants will not be responsible for any injuries, damages or losses caused to any group member in connection with terrorist activities, social or labor unrest, mechanical or construction difficulties, disease, local laws, climatic conditions, abnormal conditions or developments, or any other actions, omissions, or conditions outside the control of Cultural Tour Consultants whether expected or unexpected. The individual members are hereby warned of such risks, and are advised to purchase appropriate insurance coverage. Retention of tickets, reservations, or bookings after issuance by a group member shall constitute consent of the above. In the event that it becomes necessary or advisable for any reason whatsoever to alter the arrangements, Cultural Tour Consultants may make such alterations, after prior consultation with, and with the consent of, the tour organizer. All rates are based on tariffs, airfare, airport security taxes, fuel surcharge, and currency exchange rates in effect at the time of contract. Any change in tariffs, airfare, airport security taxes, fuel surcharge, and currency exchange rate could result in an increase in the tour price.
